Remove Last 4 Characters in Excel

Remove a fixed four characters from the end with LEFT and LEN. Use a helper column to keep the originals while checking short inputs, blank cells and identifiers with leading zeroes.

Exact answer

Enter =LEFT(A2,MAX(0,LEN(A2)-4)) in an empty helper cell B2, then fill down. LEN counts the source characters; LEFT keeps all except the final four. The MAX guard deliberately returns empty text when the source has four or fewer characters. Keep column A until you have checked the results.

Use a spare sheet with columns A, B and D available. Paste the sample into A1, including its header. A6 must be genuinely empty; do not type the word blank.

2

Enter =LEFT(A2,MAX(0,LEN(A2)-4)) in B2. Leave the original text in A2.

3

Fill B2 down through B7. Check that B3 refers to A3 and B7 refers to A7.

4

Compare B2:B7 with the expected table: report, 00123, three empty-text results, then A B. The internal space in A B stays.

5

For standalone results, copy B2:B7 and paste values into empty D2. Check D2:D7 and the formula bar before deleting B. Keep A as the original; replace it only after a backup and a separate result check.

Check six fixed-count removal results

Paste the source column into A1 of a spare sheet, leaving A6 empty. Enter the formula in B2 and fill through B7. Keep A unchanged and compare all six results before pasting values into empty D2.

If columns are cut off, scroll the table sideways.

  • LEN gives 10 for report.csv, 9 for 00123_old, 4 for ABCD, 3 for ABC, 0 for empty A6 and 7 for A B_old. The kept counts are 6, 5, 0, 0, 0 and 3.
  • B2 is report, B3 is the text 00123, B4:B6 return empty text, and B7 is A B. Do not type quote marks or the word blank into the empty sample row.
  • B4:B6 still contain formulas. Empty-text output and a genuinely empty source cell are different conditions.
  • Copy B2:B7 and paste values into empty D2; verify D2:D7 before deleting B. Ordinary formula paste can change references.
  • Check source errors and non-ASCII character counts separately. Keep the original text until you have approved the results.

=LEFT(A2,MAX(0,LEN(A2)-4))

Excel for Windows: Copy B2:B7, select empty D2, then choose Values from the Paste menu. Check D2:D7 and the formula bar before deleting B; keep the originals in A.Excel for Mac: Copy B2:B7, select empty D2, then choose Paste Values. Check D2:D7 and the formula bar before deleting B; keep the originals in A.

Keep the prefix rather than extract the suffix

For report.csv, LEN returns 10. Subtracting 4 gives 6, so LEFT keeps report. RIGHT(A2,4) would return .csv instead: that extracts the last four characters rather than removing them. The formula always removes a count of four. It does not find a dot or underscore, so it is not a method for removing every file extension or a suffix of variable length.

Choose an explicit rule for short and blank inputs

LEFT(A2,LEN(A2)-4) is sufficient when A2 has at least four characters. With ABC, its count would be -1, outside LEFT's documented nonnegative boundary. MAX(0,LEN(A2)-4) keeps the count at zero instead. This page chooses empty text for ABCD, ABC and a blank source. Formulas still occupy B4:B6; an empty-text result is not a genuinely empty cell. The guard handles the character count, not source errors. An error in A still needs inspection; the formula does not silently hide it.

Preserve text, spaces and the originals

00123_old becomes the text 00123. Do not wrap the result in VALUE if the zeroes are part of an identifier. Already lost source zeroes cannot be recovered by this formula. LEN includes spaces, including trailing spaces, and the formula does not trim them. A B_old becomes A B with its internal space intact. Ordinary copying can carry formulas and shift references: use Values on Windows or Paste Values on Mac or Excel for the web when you want standalone results in D2:D7. Check that D contains text values before removing the helper.

Character counting and formula settings

The six examples use plain ASCII text. Emoji and combining marks may not correspond to one visible symbol per character counted. Microsoft documents different surrogate-pair counting under Compatibility Version 2 and counts variation selectors separately. Check LEN and the resulting prefix in your target workbook before replacing such text. The shown formula uses English function names and commas; localized Excel settings can require different names or argument separators. These instructions target Excel; the Google Sheets workflow has not been verified here.

Common mistakes

  • Using RIGHT(A2,4): that keeps the last four instead of removing them.
  • Using an unguarded negative LEFT count on text shorter than four characters.
  • Assuming a fixed count removes a variable-length suffix or ignores trailing spaces.
  • Overwriting the source column with formulas that need those same source cells.
  • Deleting the helper before checking separately pasted values, or converting text identifiers to numbers.

Frequently asked questions

What formula removes the last four characters?

Use =LEFT(A2,MAX(0,LEN(A2)-4)) in B2 and fill down. It keeps the prefix and returns empty text for inputs of four or fewer characters under this explicit short-input rule.

Why does RIGHT(A2,4) give the wrong result for removal?

RIGHT returns the suffix itself. For report.csv it returns .csv; the LEFT/LEN removal formula returns report.

What happens to a blank cell or ABC?

Both produce empty text with this guarded formula. The helper cells still contain formulas; they are not genuinely empty cells. Check source errors separately.

Does it preserve leading zeroes and spaces?

The output is text. 00123_old becomes 00123 and A B_old becomes A B. Every counted space matters, including trailing spaces; no TRIM step is applied.

Can I delete the original column afterwards?

First copy the checked helper results and paste values into an empty destination such as D2. Verify all six values and their formula bar. Keep a backup before deliberately replacing or deleting the originals.
